How to get more Google reviews for a trades business

Reviews come from asking, at the right moment, in a way Google allows. This guide covers how to find your review link, what to send, how CalSpark sends the request for you, and the rules to stay inside.

What CalSpark sends for you

The Review request after completion automation is off until an admin switches it on under Settings, Automations. Paste your link into the Review link field on its card. It must start with https://. Without a link saved, the message is skipped and the log shows "Not sent: missing company.review_url".

  • When: 2 hours after a job is marked completed, between 09:00 and 19:00 in your company time zone, any day of the week. You can change the delay under Customize.
  • Who: the customer on the job, by email. The automation only runs when the customer has an email on file. Text messages are possible only with your own Twilio account.
  • How often: once per customer in any 90 days.
  • The email carries an unsubscribe link, since it counts as follow-up mail.
  • Default subject: How did we do, {{customer.first_name}}?

Use Preview and Send me a test to see it before it goes out. The automation sends to every customer whose job is completed and who has an email on file. That matters for the next section.

The rules Google sets

These come from Google, not from CalSpark. Read them before you write your own process.

  • No incentives. Google says offering things like free or discounted goods or services in exchange for reviews, changing reviews or removing negative ones is prohibited. Skip the discount-for-a-review idea.
  • No selective asking. Google Maps policy prohibits discouraging negative reviews or selectively soliciting positive reviews. Asking only customers you think are happy is review gating. The automation asks everyone with an email on file, which keeps you on the right side. Do not edit it into a filter.
  • Asking is fine. The same policy lets you solicit reviews of a genuine experience, without incentives and without trying to influence the rating or content.
  • No pressure on site, and do not ask for specific wording. The policy says not to require or pressure customers to leave reviews while on the premises, or to request particular content.

Google also says reviews must reflect a genuine experience. Do not write reviews for customers or have family do it.

Wording that works

Keep it short, personal and honest. Two examples:

Subject: How did we do, {{customer.first_name}}?

Hi {{customer.first_name}},

Thanks for having {{job.tech_name}} out today. If you have a minute, an honest review on Google helps other people in town find a reliable tradesperson:

{{company.review_url}}

Thank you,
{{company.name}}
Hi Dana, it was good working on your water heater today. If you would like to leave a review, this is the link: [paste your link]. Honest feedback is welcome, good or bad. Thanks. Marcus at Ortega Plumbing

The second is a text you can send by hand from your own phone. CalSpark does not send texts without your own Twilio setup.

When to ask, and the in-person ask

Ask while the job is fresh. Two hours after completion works because the customer still remembers the technician and the cleanup. Waiting two weeks turns it into a favor to a stranger.

A technician can mention it at the door: "You may get an email from us about leaving a review. We read every one." That is a heads-up, not a demand. Leave out any hint about the rating you want. Google asks that you not pressure anyone on the premises.

Reply to every review

Google suggests replies that are professional, brief and personal, sent promptly. For a negative review, acknowledge what went wrong, apologize where it is fair, and offer to sort it out directly instead of arguing in public. Future customers read the replies as closely as the stars. Reply to the positive ones too, using the customer first name and the job.

For the rest of the follow-up, see overdue invoice follow-up and appointment reminders.

Questions

Where do I put my Google review link in CalSpark?

On the Review request after completion card under Settings, Automations, in the Review link field. It must start with https://.

Can I send review requests only to happy customers?

Google Maps policy prohibits selectively soliciting positive reviews. Ask every customer you would normally ask.

Can I offer a discount for a review?

No. Google prohibits incentives such as discounts or free service in exchange for reviews.

Why was a review request skipped?

The usual causes are no review link saved, no email on file for the customer, or a request already sent to that customer in the last 90 days. The log under Recent activity shows the reason.

Does CalSpark send review requests by text?

Only if your business connects its own Twilio account. The built-in request needs an email address on the customer.
